THE CHALLENGE
With several thousand employees across more than 100 stores, the retailer relies on a small central HR team to keep day-to-day operations running smoothly. But the people who most often need HR answers are the ones with the least time to look for them. Store staff work on the shop floor, not at a desk. They have limited access to internal systems and no time to dig through wikis or handbooks.
So when questions came up about payroll, time tracking, holiday or onboarding, staff did the obvious thing and called HR. Most of these questions were recurring and had already been answered somewhere. Still, each one landed on the desk of a central team member. As the company grew, HR spent more and more of its time on routine requests instead of strategic work, and store employees often had to wait for answers they needed right away.
OUR APPROACH
Together with the client, we built an internal AI assistant that gives every employee instant, reliable answers to their HR questions, at any time and from any store. It draws exclusively on the company’s own policies, HR documentation and process guides, and every answer links back to its source. If the assistant can’t answer a question with confidence, it says so and refers the employee to the right contact instead of guessing. The solution runs securely within the company’s own environment, so sensitive employee data never leaves its control.
OUTCOME
Today, 80% of recurring HR and payroll questions are answered automatically, without involving the central team. This saves 35 hours of HR capacity every week, which the team now spends on strategic topics instead of routine requests. In the first wave, more than 800 employees were enabled.
